Getting started

Your business, cashbooks and accounts.

How do I create a business and my first cashbook?

Use the business selector and choose Manage businesses to create a business. Select that business, open Cashbooks and create a cashbook. Its account holds the opening balance and subsequent cash in and cash out.

Can I manage more than one business?

Yes. Each business has its own books, accounts, transaction history and team access. Switch businesses with the selector at the top of the app. Check the selected business before recording money, importing records or creating a budget.

What is the difference between a business, cashbook and account?

A business is your workspace. Cashbooks organize its records, such as Sales or Petty cash. An account holds the balance used by entries and reports. Account selectors identify the cashbook so you can distinguish accounts with the same underlying name, such as Cash.

Recording money

Amounts, receipts, corrections and balances.

What does Record money do?

Record money adds a transaction to the currently selected business. Choose one of that business’s available accounts, select cash in or cash out, enter the amount and details, then save. You can also record an entry from inside a cashbook.

Can I calculate an amount while entering it?

Yes. Type a calculation directly into the amount field, such as 1000 + 250 or 5 × 5. Check the calculated result before saving. Use a positive whole-number result; choose cash in or cash out to set the direction. You do not need a separate calculator.

How do I edit or delete an entry?

Open the entry in its cashbook and use Edit or Delete if your cashbook role permits it. Closed accounting periods and other book controls may restrict changes. Ask a cashbook Manager or the business Owner if an action is unavailable.

Can a cashbook balance be negative?

Yes. A balance can fall below zero, including after deleting a cash-in entry. A negative resulting balance alone does not prevent that deletion. Permissions and closed-period protections still apply.

How do I attach or store a receipt?

Attach a JPG, PNG, WebP image or PDF when recording or editing an entry. Files must be no larger than 4 MB. You can also open Money tools → Categories and receipts → Stored receipts, select a cashbook and upload a file. Receipt access follows cashbook permissions.

Business management

Business details, currencies and ownership.

Where do I set the currency and edit business details?

Choose the default currency when creating a business; USD is selected initially. To edit the business name, logo and contact details, open Settings → Business Settings → Business Profile with an authorized role. Currency labels do not convert historical amounts using exchange rates.

How do I transfer ownership of a business?

The current Owner can open Business Settings → Transfer business ownership and choose a team member who has already joined that business. Review the confirmation: the recipient becomes Owner and your role changes to Administrator. A pending invitation is not a joined member.

How do I delete an unwanted business?

Only the Owner can delete a business from Business Settings. Enter the exact business name to confirm. Export anything you need first: deletion permanently removes the business and its associated operational records. Deleting a business is different from deleting your personal Cashflow account.

Importing records

Bring existing books and history into Cashflow.

Can I move records from another app?

Cashflow supports CSV, Excel and supported text-based PDF cashbook reports. Open Reports → Import books, select the file and destination, and review the detected books, dates, totals and any incomplete rows before confirming the import. For a scanned or image-only PDF, request a CSV or Excel export instead.

Why have my books not appeared after the file was read?

Reading the file creates a preview; it does not save records yet. Review the preview and destination, then click Confirm import. A completed import opens the imported cashbook or the cashbook list when several books were created.

What happens to incomplete or invalid import rows?

Review the repaired and skipped rows shown in the preview. If records are skipped, you must accept the skipped records and recalculated balances before confirming. For a complete history, correct the source file and review it again. Cashflow cannot recover information missing from the file.

What if an import reports that it already exists?

Open the existing imported books using the links shown and check their history. Cashflow protects against importing the same file again. If a request was interrupted, check whether the books were created before starting another import.

Reports and exports

Filter activity and download useful statements.

How do I choose which records appear in a report?

Open Reports and select the business first. The Account dropdown lists accounts available to you in that business. Choose an account or the available combined view, then set the date range. Account performance is collapsed until you open it.

How do I export or share a report?

Choose Download PDF for a branded, printable statement with cash in shown in green and cash out in red. Choose Download CSV for spreadsheet analysis. The export follows your selected filters and permissions. CSV is a text format and does not embed images or a graphical logo.

Why does the report show only ten transactions?

Reports initially show ten recent transactions to keep the page short. Use Show all to expand the history and Show fewer to collapse it. Totals and downloaded reports use the full authorized history within your filters, not just the ten rows on screen.

Money tools

Transfers, contacts, reminders, budgets, recurring entries and debts.

Does Transfer money move funds through my bank?

No. It records a transfer between two accounts in the selected business and updates their recorded balances. Choose different source and destination accounts with the same currency. Reversing a transfer records an equal transfer in the opposite direction; it does not cancel a bank payment.

Where do the contacts in Debts and Recurring come from?

Contacts are shared within the selected business. Add customers or suppliers in Money tools → Contacts, or use Add contact beside a contact selector. If you have permission, Cashflow returns you to your unfinished debt, recurring entry or reminder with the new contact selected.

How do I track money owed to me or money I owe?

Open Money tools → Debts. Choose the contact, debt direction, original amount and any account, due date or description. When money is paid, record the payment against the debt and choose its account. The payment updates both the outstanding debt and that account’s recorded balance.

Do budgets belong to a specific business?

Yes. Select the business, then open Money tools → Budgets. Set the period, income target, expense limit and optional expense-category limits. Progress uses that business’s posted transactions. A budget tracks targets and spending; it does not move money or stop a bank payment.

How do recurring transactions work?

In Money tools → Recurring, choose the account, cash-in or cash-out direction, amount, schedule and next run date. You can add a compatible category and contact, then pause, resume, edit or delete the schedule when your permissions allow. A scheduled run creates a cashbook entry; it does not charge a customer or send a bank payment.

When do scheduled reminders and recurring entries run?

The scheduled worker currently runs once daily at 05:00 UTC, which is 06:00 WAT. Due reminders and recurring entries are processed on that run, so the time you select is not an exact delivery guarantee. Check the resulting records before relying on them for a payment deadline.

Teams and permissions

Invitations, business roles and cashbook access.

How do I invite a team member?

Open Business Team, add the person’s name and email, choose a business role and any assigned cashbooks, review the access levels, then send the invitation. The recipient must accept while signed in with the invited email address. An invitation alone does not make someone a joined member.

How are business roles different?

The Owner controls ownership and business deletion. Administrators manage the business and team, but only the Owner can appoint, change or remove Administrators. Managers manage all current and future cashbooks but cannot change business roles. Members use assigned cashbooks with their chosen access levels. Business Viewers remain read-only on assigned cashbooks.

What can each cashbook access level do?

Manager can manage entries, reports, contacts, cashbook members and settings. Editor can add, edit and delete entries, manage contacts and view reports. Contributor can view entries and add new entries, but cannot edit or delete existing ones. Viewer can view entries and reports without making changes. A business Viewer cannot receive write access through a cashbook role.

Why does an invitation open in the browser instead of the app?

Automatic opening requires a compatible installed Android build and supported-link handling enabled on the phone. Otherwise, the link can open in the browser. Sign in with the invited email and accept there. If the invitation has expired or been revoked, ask an authorized team administrator to send a new one.

Notifications

Team activity, reminders and your inbox.

How do I receive notifications about teammates’ changes?

Enable device notifications in Settings and allow Cashflow notifications in your phone or browser settings. Book-activity push notifications are for authorized teammates’ changes, not your own additions and edits. Delivery also depends on device settings and an internet connection.

Why are there only five saved notifications?

The notification inbox keeps the five most recent saved notifications. Older saved notifications are removed. Daily entry reminders are sent without being saved in the inbox.

Account, mobile and support

Offline use, sign-in, iPhone access and help.

Can I use Cashflow without an internet connection?

Previously saved businesses and cashbook records can be available offline on that device. Supported new entries can be queued and synced after reconnecting. Review pending or failed entries and confirm they have synced before signing out: sign-out clears cached workspace data and queued entries. Imports, exports and team changes need a connection.

Do I need to close the app to see new changes?

Connected workspaces listen for live updates and refresh after reconnecting or returning to the app. If changes seem delayed, check your connection and selected business. Some sessions use periodic refresh as a fallback, so updates may not appear instantly.

How can I use Cashflow on an iPhone or iPad?

Open cashflowapp.biz in Safari, tap Share and choose Add to Home Screen. Launch Cashflow from that icon to use the web app. This is a home-screen web app, not an App Store download.

Why am I asked for an email verification code?

Cashflow may ask you to confirm your email or verify a new device during sign-in. Use the latest code sent to your email address. Never share your password or verification codes. If you cannot sign in, use password recovery or contact support.

How do I delete my Cashflow account?

Open Settings → Delete my account, or visit cashflowapp.biz/delete-account without signing in. Send the request from your registered email to hello@cashflowapp.biz. Support verifies ownership and clarifies what happens to businesses you own and shared records before completing deletion.

Still need help?

Include the business or cashbook name and what happened. Never send your password or verification code.
